Intern Onboarding Checklist: Setting Interns Up for Success
Whether virtual or hybrid, onboarding is the first real introduction interns have to your organization's culture, expectations, and ways of working. When done right, it builds confidence, increases engagement, and sets interns up to contribute meaningfully from day one.
At Alena Connect, we believe that a successful internship starts with an exceptional onboarding experience. Whether virtual or hybrid, onboarding is the first real introduction interns have to your organization's culture, expectations, and ways of working. When done right, it builds confidence, increases engagement, and sets interns up to contribute meaningfully from day one.
To support our host organizations and partners, we’ve developed the Alena Connect Intern Onboarding Checklist—a practical, step-by-step guide to help you welcome interns smoothly and professionally.
1. Pre-Arrival Preparation
Set the foundation before day one.
-
Reach Out Early
A few days before the internship begins, send a welcome email with details like start date, login access, working hours, tools to install (for remote roles), and what to expect on the first day. -
Prepare Managers and Teams
Inform supervisors and team members about the intern’s role and responsibilities. Share relevant background so they’re ready to support and mentor from day one. -
Clarify Work Environment Expectations
Whether remote or onsite, communicate expectations around dress code, meeting etiquette, communication tools, and availability.
2. Equip Interns for Success
Ensure interns have the tools, access, and information they need.
-
Provide Access to Tools & Tech
Confirm that interns have access to all necessary hardware and software. If remote, provide setup support or guidelines for a productive home workspace. -
Set Up IT Accounts in Advance
Ensure interns have login credentials for emails, shared drives, collaboration platforms (e.g., Teams, Slack, Zoom), and project tools. -
Assist with HR and Compliance Forms
Guide interns through any contracts, NDAs, or HR paperwork—especially helpful for those doing this for the first time.
3. Welcome Interns Warmly
Make the first day informative and inspiring.
-
Send a Warm Welcome Message
A personalized welcome from the team or leadership helps interns feel valued. Include a digital welcome pack with an overview of your organization, culture, and tools. -
Introduce Your Organization’s Mission & Values
Share your “why.” Help interns understand the bigger picture and how their role contributes to your mission. -
Facilitate Team Introductions
Schedule brief one-on-one chats or a team welcome call to help interns start building relationships.
4. Provide Structured Training and Tasks
Help interns get up to speed and contribute meaningfully.
-
Role-Specific Training
Offer task-specific onboarding sessions to familiarize interns with your processes, goals, and expectations. -
Assign a Mentor or Buddy
Pair each intern with someone they can reach out to for guidance and feedback. This personal connection helps interns feel supported. -
Start with Manageable Tasks
Assign clear, early wins to boost confidence. Provide constructive feedback and encourage questions.
5. Make the Experience Meaningful
Create space for learning, growth, and connection.
-
Organize Social or Informal Activities
Include virtual coffee chats, lunch-and-learns, or group check-ins to foster community among interns and teams. -
Ask for Feedback and Offer Support
Schedule regular check-ins to address concerns, provide feedback, and adapt the experience to better support intern goals. -
Celebrate Milestones
Acknowledge progress and achievements. A simple thank-you or shoutout can leave a lasting impression.
6. Keep Everyone Aligned
Use tools and templates to simplify your workflow.
-
Utilize shared checklists, onboarding timelines, and task trackers to ensure nothing is missed and expectations are clear for everyone involved.
